We are currently looking for a proactive and highly organized Private & Office Assistant to support our Management Board. In this role, you will handle a variety of high-priority and ad hoc tasks, manage complex calendars and travel arrangements, and provide both business and personal assistance. This is a dynamic, hands-on position requiring flexibility, problem-solving skills, and the ability to operate in a fast-paced environment.
Your responsibilities:
- Providing comprehensive administrative and organizational support to the Management Board, including a wide range of ad hoc and high-priority tasks.
- Delivering high-level concierge assistance by managing both business-related and personal matters with discretion and efficiency.
- Managing the Board’s calendar, including scheduling internal and external meetings, and organizing off-site sessions and events involving the Management Board.
- Coordinating domestic and international business travel: arranging flights, trains, accommodation, local transportation, and overseeing visas, insurance, and other formalities.
- Proactively handling last-minute travel changes and ensuring timely alternative arrangements.
- Managing communication and documentation workflows, including correspondence, contracts, invoices, and internal reports.
- Liaising with external service providers and vendors to support the daily operations of the Management Board.
- Maintaining a well-organized office environment tailored to the operational and personal preferences of the Board.
Minimum qualifications:
- Excellent organizational skills with the ability to prioritize tasks and manage multiple responsibilities simultaneously.
- Proactive and self-driven – we are looking for someone who takes initiative and operates independently without needing constant guidance.
- Flexibility and readiness to handle ad hoc tasks – ability to respond quickly and effectively to the dynamic needs of the Management Board.
- Previous experience in a similar role (Executive Assistant / Personal Assistant); experience working directly with executive-level leadership.
- Strong interpersonal and communication skills, both with internal teams and external service providers or partners.
- Proficiency in English – fluent written and spoken communication is required.
- Confident user of MS Office / Google Workspace and organizational tools (calendars, task managers, booking platforms, etc.).
- “Can-do” attitude with a solutions-oriented mindset and willingness to go the extra mile.
- Driving license (category B) is a plus.
